FACILITATOR VIEW / ABOUT 10 MINUTES

Watch someone
make a plan.

Use these tasks with a reader. Ask them to think aloud, avoid guiding their clicks, and note what they understand and where they hesitate. Use a fresh demo visit rather than a real booking.

Research status: participant study pending.

The portfolio currently reports internal checks only. This kit does not create or publish research findings. Notes stay in this browser until you export them.

Before the first task
  1. Use a fresh browser profile or the prototype’s “Clear preview” control. Keep the visitor and host views in the same browser so they share the demo plan.
  2. Explain that this is a fictional service and ask permission to take anonymous notes. Read each task aloud without naming the control to use.
  3. For task 3, pause while the facilitator opens the host view and completes the three preparation checks. Return to the visitor’s pass before asking them to change it.
  4. Record wrong turns, help and exact comments. Afterward, turn each observation into a proposed change and a follow-up question.

Get consent before taking notes or recording a session. Don’t include names, contact details or medical information in the notes.

TASK 1 / ROOM FIT

Choose somewhere to make.

“You’re bringing four people, including yourself, to make a small printed zine. Find a suitable ground-floor room for two hours. Explain what it costs and what’s included.”

Observer prompts

Can the reader distinguish Making from Workshop? Do they notice capacity, access and equipment before choosing? A reasoned alternative is useful evidence; don’t steer them to a preferred answer.

TASK 2 / BOOKING

Turn the choice into a visit.

“Make a demo visit for four people on Tuesday 17 November, from 10:00 to 12:00. Check the room and total before saving.”

Observer prompts

Observe how they find duration, time and group size. Can they explain the final total? Is the review clearly different from a saved visit?

TASK 3 / A CHANGE AFTER PREPARATION

Make room for a bigger group.

First, let the facilitator open the host preview and complete the visit’s preparation. Then ask: “Your group is now eight people. Change the visit to a suitable room. Explain what stayed the same and what the host needs to do next.”

Observer prompts

Does the reader switch to a room with enough capacity? Do they understand the old/new review, stable reference and restarted preparation? Ask what they expect from calendar downloads and notifications.

TASK 4 / ARRIVAL & ACCESS

Explain the way in.

“Find the current arrival instructions without making another booking. Explain where you check in. If someone needs a ground-floor route, which room would you rule out, and why?”

Observer prompts

Can they find My visits, the current pass and the room route? Do they understand that Quiet is upstairs without a lift? Ask what information a real venue would still need to provide.

TASK 5 / CANCELLATION

Close the plan.

“You can no longer attend. Cancel the demo visit, then explain what happened to the booking and where you would find its receipt.”

Observer prompts

Is cancellation deliberate and understandable? Do they recognise the retained cancelled receipt and that no payment was taken?

What needs changing?

Keep observation separate from interpretation. A completed task is not proof that the venue is accessible or the service is ready for production.
